Position Overview:

Subject to the ultimate supervision, direction and control of Company, the Payroll Specialist will be responsible for processing the bi-weekly payrolls for the Company by submitting timely and accurate payroll data, implementing and documenting efficient processes, and developing and maintaining strong business relationships. The Payroll Specialist will also assist with entering new hires, terminations, benefits processing and other HR-related tasks or other Corporate tasks as needed.

 

Primary Duties & Responsibilities:

  • Process bi-weekly payrolls, reconciling and verifying all changes and new hires prior to transmission, validate confirmation reports after transmission and balance the payroll entry in the accounting software
  • Approve  commission related pay outs and enter into payroll system for payment
  • Research, resolve and respond to inquiries from employees and managers regarding payroll processing such as PTO, payroll deductions, garnishments, retroactive pay calculations, tax questions and other changes; provide training as needed
  • Oversee workflow processes to ensure that all payroll transactions are processed accurately and timely
  • Set up tax IDs for new locations with states, counties, cities, localities and other regulatory agencies as needed
  • Reconcile earnings records with W-2 information to ensure accurate tax reporting for employees
  • Research payroll issues/discrepancies and process necessary corrections
  • Process off-cycle payrolls for bonuses, correcting payrolls and other needs and distribute manual checks
  • Assist with managing time and PTO for hourly employees and assist managers with questions regarding time entries of their employees
  • Review audit reports and other payroll documentation for accuracy and adjust as necessary
  • Ensure that all payroll remittances and filings are processed timely and accurately
  • Comply with all applicable regulatory standards and payroll policies and procedures; understand proper taxation of employer paid benefits
  • Assist with entering new hires, terminations, benefits processing and other HR-related tasks as assigned
  • Complete employment verifications as needed
  • Other duties and responsibilities as required; management may assign or reassign duties and responsibilities to this position at any time

Education & Experience Qualifications:

  • Bachelor’s degree in Accounting, Finance or related field from an accredited institution preferred or an equivalent combination of experience and education; high school diploma required
  • One to two (1-2) years of related experience processing payroll for a multi-state organization and knowledge of Payroll best practices; experience working in Human Resources and Accounting preferred
  • Experience working in the residential mortgage lending industry or with sales or commission-based employees preferred
  • Must be extremely organized, attentive to detail and ability to make decisions and solve problems independently
  • Must exhibit discretion and professionalism at all times and in all communications; must assert high level of confidentiality
  • Must be flexible to adjust to changing business needs and priorities in a fast-paced environment
  • Must have a demonstrated ability to build quality customer relationships and have excellent verbal and written communication skills
  • Must have demonstrated PC proficiency, including with Microsoft Excel and Word
  • Experience using Human Resource Management Systems (HRMS) required; experience using Paycor preferred
